Switching

Switching, without the hostage story.

The fear with new software is the move itself: your customers, your agreements, your cards on file. PhoenixOPS was built by a company that made this exact move, so the migration path is a product feature, not an afterthought. One company per night, done carefully, is the pattern.

How a switch runs

Friday evening out, Monday morning live.

1

Export from what you have

On Friday evening, export your customers, service history, invoices, payments, and recurring agreements from your current system. Step by step guides live in the knowledge base, starting with Moving your data to PhoenixOPS and Exporting your data from GorillaDesk.

2

The Import Wizard reads it first

The wizard guesses your column mapping and lets you adjust it, then shows a validation preview: every problem row, with its row number and a plain words reason, before anything is committed. Duplicates are matched and held for your review. Existing records are never silently overwritten.

3

A Restore Point comes first

Every import takes a Restore Point automatically before it commits. If the result is not right, one action rolls back exactly that batch, no more and no less. Each batch also comes with a downloadable error report.

4

Monday, you run on PhoenixOPS

The setup wizard walks the company setup in plain words, including which branch is your main branch. Guided walkthroughs sit on the real screens for the first week and beyond, one plain action at a time, and the guide never performs the action for you.

Your customers' autopay comes with you

Keep the same processor, keep the cards. If your cards on file live in your own Square or Stripe account, PhoenixOPS adopts those card references, brand, last four digits, and expiry only, never the card number. One tap adopts a clear match, and anything unclear lands on a review list for a human.

Cards on another platform cannot move, and we say so up front. Those customers get a tracked re-enrollment: a five step concierge checklist, plus secure, single use card update links sent by email or by text through the opt-in gate. The page always shows three honest counts: carried over, asked, and still outstanding.

Concierge migration for founding pilots

Founding pilots do not migrate alone. We sit on the call and move your data with you, the same evening pattern, with the same previews and Restore Points, and we stay until the counts balance.

The pilot rate is part of the deal: Flame at $99 per month, locked for as long as the subscription stays active, with concierge migration free. See the pilot terms on the pricing page.

Stuck on an import? The wizard carries a Request help with my import action that raises a request tied to your exact batch, so support sees what you see.

And if you ever leave

The door opens both ways.

The same honesty applies on the way out. Full data export is available any time, as a single download with your customers, jobs, invoices, receipts, and photos, and it is never gated by billing status. There is no contract, no cancellation fee, and no retention call. We would rather earn the renewal every month than lock the door.

Validation preview before any commit Automatic Restore Point on every import One action rollback per batch Full export any time
